Paragraph Structure

Salutation & Opening

Use high-level vocabulary ('formally address a concern', 'come to my attention') to establish an authoritative but respectful tone.

Point 1 (Detailing the Grievance/Issue)

Regrettably, there appears to be an issue with Detail. Despite my previous attempts to resolve this independently, the situation remains Adjective, which is understandably quite frustrating.

Use 'Regrettably' or 'Unfortunately' to soften a complaint. Show that you have already tried to handle things ('Despite my previous attempts...').

Point 2 (Expanding on the Ramifications)

To elaborate, the ongoing malfunction has led to Consequence, severely hampering my ability to Action. I am sure you can appreciate how disruptive this has been over the past week.

Use 'To elaborate' to transition into details. Use phrases that appeal to the reader's empathy ('I am sure you can appreciate').

Point 3 & Closing (The Call to Action)

I would be extremely grateful if you could expedite a solution to this matter. Ideally, I am looking for Specific Outcome to ensure no further disruption occurs. Yours sincerely, Your Name

Ask for a quick fix gracefully ('expedite a solution'). Use 'Yours sincerely' when you know the person's name.

Common Mistakes to Avoid

Mixing 'Yours faithfully' with a named person

If you write 'Dear Mr. Smith', you CANNOT end with 'Yours faithfully'.

Fix: Rule: Dear Name -> Yours sincerely. Dear Sir or Madam -> Yours faithfully.

Over-complicating the request

Using vocabulary so complex that the manager wouldn't actually know what you want them to do.

Fix: Keep the final request clear and actionable, even if the vocabulary is advanced.
